CAMPUS MAIL

Campus mail services are provided to support activities directly related to university business. It may not be used for "chain" letters, solicitation of funds to support religious activities, endorsing political candidates or requesting funds for their support, or the distribution of advertising notices for activities or products not a part of the normal functions of the University.

Envelopes

The special red and white interoffice letter-sized #10 and flat-sized 10 x 13 envelope should be used for interoffice destinations. The very visible red border and specially lined envelopes assist with sorting interoffice mail from outgoing mail destined for the USPS mail stream. Use of 10 x 13 interdepartmental envelopes is encouraged for all larger mail pieces.

New interoffice multi-use and one-time use #10 envelopes can be ordered at http://delivery.rice.edu.  Interoffice one-time use  #10 envelopes can be pre-printed with your department name and mailstop.  Please contact Ute Franklin (umf@rice.edu)  in Delivery Services to place your printing order.  The printer is Mail Services of Houston. Large volumes of 10 x 13 interdepartmental envelopes for specialized mailings require purchasing from Delivery Services.

Reusable envelopes are recycled through Delivery Services by placing excess envelopes with the outbound mail. Supplies for daily needs may be requested by contacting 2888 or e-mail to dgreene@rice.edu.

Addressing

Campus mail should identify the addressee’s name, department, and mail stop on each piece. Cross out all previous addresses to prevent misdirected deliveries.  Mail missing the appropriate information will be opened to determine its destination.

Campus Bulk Mailings

Campus bulk mailings are an easy method of communicating with many people. Special preparation helps Delivery Services expedite mail to its destination.

Campus Bulk mailings require the following guidelines:

  • Personalized pieces for two or more going to the same department must be sorted by mail stop and wrapped with rubber bands or held together with large paper clips. Large departments may require several bundles. Address labeling of these pieces is acceptable.  Labels are available through Human Resources Department.
  • Unaddressed mailers/flyers can be sent to each department. Prepare 230 pieces and send to Delivery Services with the request to distribute to each department. (You may wish to mark this piece FOR POSTING.) No folding is required.

Campus Mail Distribution

Campus mail collected from departments or delivered to the mailroom prior to 11:00 a.m. will be delivered that afternoon. Campus mail collected in the afternoon will be delivered the following morning.
