HELPFUL HINTS PART I

• Mail letters and packages early in the day if placed in campus mail system. All mail leaves the campus at 4 p. m.
• Time-sensitive items should be called to the attention of Delivery Services; otherwise, the item will be sent the most economical way.
• Carefully consider the necessity of using overnight delivery via Express Mail or Federal Express. Priority Mail or Economy 2-Day service costs approximately 40% less than overnight delivery. This procedure is especially important if the contents have been previously faxed to the recipient.
• Large quantities of regular letter envelopes may be sent to Delivery Services for sealing with the postage application. This applies to both first-class mail and to Standard Mail A (bulk) shipments.
• Bulky or oversized envelopes must be sealed. Mailings thicker than 1/4" must be placed in heavy-duty envelopes for safe shipping.
• Interdepartmental, stamped mail, and mail requiring postage should be collected in separate receptacles in each department. Delivery Services staff will bundle them with the departmental accounting information.
• Interdepartmental/incoming mail must include the departmental mail stop number. Inadequate information will cause sorting delays.
• Outgoing mail should have a typed address in a standardized format including the 9-digit Zip Code. Do not affix a barcode from your personal computer.
• To ensure the timely return of Business Reply Mail (BRM), request the specialized artwork from Delivery Services before preparing the mail piece. Refer to the BRM section for further information.
